Privacy notice — Convocation 2026 registration
Al Haadi Institute respects your privacy. This notice explains what we collect through this registration form, why, and how we look after it.
What we collect
- Graduate details: full name for the certificate, date of birth, course, session, RSVP, phone number and email address.
- Documents: a document supporting your name and date of birth (such as a birth certificate) and your convocation fee payment slip.
- Guest details: each guest’s full name and gender only. We do not ask for guests’ dates of birth, contact details or identity documents.
Why we collect it
- To prepare your certificate accurately, using your name exactly as you entered it.
- To manage convocation attendance, seating and guest arrangements for the Ladies’ and Gents’ events.
- To confirm convocation fee payments. Our system may automatically read the amount on your slip to help staff, but a payment is only confirmed after an authorised staff member checks it.
- To contact you about your registration.
Who can see it
Only authorised Al Haadi Institute staff responsible for the convocation can view registrations and documents, after signing in to a protected staff area. Uploaded files are stored privately and are never available at a public web address. We do not sell your information or share it with advertisers, and this system does not send your information to outside cloud services.
How long we keep it
We keep registration records and documents only as long as needed to run the convocation, issue certificates and resolve any payment questions. Records become eligible for deletion 180 days after the convocation and are then deleted by authorised staff. You may ask us to correct or delete your registration at any time before then.
